Job Description

 

TITLE:  PT Receptionist, corporate office

 

QUALIFICATIONS:

 

1.      High School Diploma or GED equivalent

2.      Six months of experience in performing receptionist or general clerical duties; or an equivalent combination of training and experience.

  1. Proficient computer skills in MS Office including Word, Excel, PowerPoint and Outlook with strong skills in conducting internet searches.

4.      The ability to communicate in Spanish/English is required, including spelling, grammar and punctuation;

  1. Working knowledge of standard office administrative practices and procedures, including the use of standard office equipment.
  2. Communicating effectively with co-workers, subordinates, superiors, business partners and the general public both in person and over the telephone.
  3. Ability to organize own workflow, coordinate projects, set priorities, and accurately complete assignments within specified timeframes.
  4. Multitask oriented, and able to perform specialized office administrative work
  5. Ability to understand and follow directions.
  6. Neat personal appearance

 

DESCRIPTION OF DUTIES: The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this position.

 

  1. Provide primary back-up for Corporate Receptionist when absent from location during breaks, vacations or personally days.  
  2. Receptionist duties to include:

·         Answer main switchboard telephone consisting of two telephone lines and multiple extensions always using proper telephone etiquette.

·         Triage each call to the appropriate department or associate.  Be able to find the person the caller needs when they are not clear what their needs are.  Receive and distribute messages as necessary. 

·         Greet visitors to Square One, notifying appropriate department or associate that visitor is waiting in reception area or on their way up.

·         Security of building – ensuring that only authorized individuals are allowed access to Square One

·         Maintain a secure, safe and clean reception area.

  1. Processes and distributes mail according to established procedures; prepare materials for mailing, utilizing automated equipment when applicable.
  2. Process receipt of payments for child care bills as needed.
  3. Assist members of the Senior Management Team when needed by performing a variety of administrative support duties such as performing basic research, preparing reports, spreadsheets, proofreading documents and other projects as needed.
  4. Perform other duties as assigned by Manager.
