JOB DESCRIPTION

 

TITLE:  Family Service Coordinator FOR FAMILY CHILD CARE

QUALIFICATIONS:

 

  1. Associate Degree in Business or related field of study with two years of successful experience, including at least 6 months experience in Family Child Care or High School Diploma and seven years successful experience in a customer service setting, including at least 2 years experience in Family Child Care. 
  2. Ability to multitask, strong attention to detail and organization, with the ability to prioritize and complete tasks prior to deadlines.
  3. Ability to work cooperatively and as a member of a team with parents, staff, family child care providers and the community-at-large.  Maintain professional conduct and appearance at all times.
  4. Requires reliable transportation to travel to SDN Provider homes and training programs throughout the Pioneer Valley area. 
  5. Computer proficiency in MS Office Suite including Excel, Access, Word, and Outlook for e-mail.  
  6. Demonstrates an understanding of applicable standards and regulations relative to funding sources such as, OCCS and NEFW contracts as they relate to the enrollment of children in centers and FCC based programming.
  7. Bilingual skills are preferred in both English & Spanish.
  8. Flexible hours are necessary. 

 

DESCRIPTION OF DUTIES

 

The Family Service Coordinator for Family Child Care will perform a variety of tasks that include but are not limited to:

  1. Receive and respond to inquiries for enrollment and placement
  2. Provide programming information to parents in need of child care services
  3. Create and maintain files for each child/family after intake is conducted
  4. Pre-qualify parents seeking subsidy and maintain waitlist according to established procedures and protocol
  5. Maintain confidential documentation, organize and maintain files required in a professional manner
  6. Match parent/family needs to appropriate FCC Provider; track provider openings using electronic database
  7. Schedule and conduct intake interviews, accompany parent to provider home for pre-placement visit
  8. Assess parent fees, gather and submit all required documentation to billing department for collection
  9. Enter all enrollment related data into agency data base
  10. Verify start/termination date and inform appropriate staff utilizing established confirmation forms
  11. Deliver complete child file to receiving FCC Provider on or before enrollment date
  12. Ensure full compliance with all applicable regulations and policies and any revisions promulgated
  13. Complete reassessments as required by funding sources, up-date signatures and other documentation, including physical exams and agency child care data base as needed
  14. Issue advance notice of termination forms according to established policies, notify appropriate staff/departments of actual terminations utilizing established confirmation forms
  15. Work with the Director of Transportation to refer qualified children to transportation services offered by SDN, the Director of Transportation will develop a mutually agreed upon schedule.
  16. Respond to requests for information in a timely fashion
  17. Retrieve information and compile reports as requested
  18. Maintain on-going, open communication with appropriate staff/departments
  19. Coordinate child transfers between FCC Provider homes and between provider and center
  20. Participate in FCC Provider recruitment and training activities
  21. Other duties as assigned

 

Physical Demand 

 

1.      Ability to stand or sit in same position during working hours and on special occasions.  

 

2.      Ability to effectively utilize computer software programs with proven ability to have manual dexterity to maintain specific databases and reports. 

 

3.      Excellent auditory, verbal and sensory skills and abilities.    

 

Mental/ Visual Demand 

 

1.      High attention to detail involving normal mental and visual attention all of the time.
